Biography

You came through the 2024 graduate programme and joined Finance as an executive in accounts payable. You are halfway through your ACCA and you are conscious that everyone around you has been doing this for longer than you have.

Your day is vendor invoices, staff expense claims and the twice-weekly payment file. Serena Koh, your team lead, checks your work; Marcus Goh approves the payments; Victor Lim executes them in the banking portal. You are the first pair of eyes on almost every document that arrives asking to be paid.

The Q3 close window opens in nine days and the ERP migration is running user acceptance testing at the same time. Everything is slightly late, everyone is slightly urgent, and a supplier email that says 'please update our bank details before the next run' does not look nearly as strange as it should.

Quarter-end closing

The Q3 FY26 close: accruals, supplier statement reconciliations, invoice cut-off and the scramble to get everything posted inside a six-day window.

ERP finance migration

The finance workstream of Project Phoenix. You are a nominated UAT tester for accounts payable, working alongside external consultants you have never met in person.

Daily responsibilities

Vendor invoices

Matching invoices to purchase orders and goods receipts, chasing missing POs, and flagging anything where the payee details do not match the vendor master.

Expense claims

Reviewing staff claims against policy, checking receipts, and handling the ones that arrive from directors marked urgent with no receipt attached.

Payments

Preparing the Tuesday and Friday payment files for Marcus to approve and Victor to execute. Never releasing a payment yourself — but assembling everything that goes into one.

A typical workday

  1. 09:00

    Invoice inbox

    Forty new invoices overnight. Sort by due date, match to POs, park the ones with no purchase order.

  2. 10:30

    Supplier queries

    Three suppliers chasing payment. One says their bank has changed and attaches a letter on headed paper.

  3. 12:00

    Expense claims

    Clear the claims queue before the weekly cut-off. Two claims are over policy and need Marcus to decide.

  4. 14:00

    Payment file preparation

    Build Friday's payment run, reconcile the totals, send to Serena for review before it goes to approval.

  5. 15:30

    Phoenix UAT

    Two hours of accounts payable test scripts with the implementation partner's consultant.

  6. 17:30

    Close prep

    Supplier statement reconciliations for the quarter. This is the part that runs late all through close week.
